Thank you for attending the meeting tonight of the Advisory Committee for Technology Advancement. This is an exciting time for Vision Source and the profession of eye care. As you can tell, there is a real commitment to this endeavor and having our voice as an integral component is important. Let me start by thanking you for your commitment to this important cause.

In tonight's meeting, you heard the high level, overall plan of this project. I like to think of this as
"Where We are Going."
My ask of you, at this time, is to help us define, very clearly, "Where We Are Now." I am again asking for your trust in this process and know that it will become more "structured" as we go. Your first task is to simply share your overall experience in technology with patient care. Just reminisce, it could be fun.
Delivery Format: There is no form or survey to complete (yet). Simply capture your thoughts using the methods that are most comfortable for you. I used pen and paper. If you do that, then just scan and send it to me. If you want to type it into an email - fine. Put it in an organized spreadsheet - great. You can even send me a voice recording. Just do what's comfortable to you and get it to me. (If you like flipcharts, just take a picture of the sheets and send them.)
The Assignment:
Please share your Patient Management System (PMS) / Electronic Health Records (EHR) history. When you bought / started your practice, share what primary program you used to schedule patients and manage the money. Share how you moved away from paper records and if you used the same program for EHR. How many changes "Core PMS / EHR" systems have you made through the years? And finally - what system(s) are you using now?
In addition to your "Core PMS / EHR" story, please share all of the ancillary programs, apps, etc. that you use to operate your practice. Simply share the name of the program, what it does, and if it is a part of the Core PMS, or an "add-on." Feel free to share your love or distain or indifference toward the service. We'd also love to learn about programs you have tried but no longer use and why?
Areas of the practice to consider. Explore the entire patient journey, but also all of the behind-the-scenes management where you utilize technology.
Patient communication, marketing, scheduling, reminders, recalls.

Documentation, image reviews, billing, coding, auditing.
Optical, frame selection, lens selection, cost discussion, inventory.
Contact lens management, trial lenses, supply to patient, re-orders.
Checking out, taking money, credit card processing, 3rd party billing. Posting payments, sending statements, making adjustments, re-filing.
Data analysis, profitability, capture rates, scheduling volume, practice trends.
Time-clocks, staff reviews, HR, staff tasks, internal communications. Teleoptometry connections.
Whatever else you can think of.
Level One: Do this yourself. Using your favorite thought capturing device, just share your story and what you use. You can start this one right now.
Level Two: Lead a session with your team. You know your practice and who is involved. Ask for their input in this same task in whatever manner fits you best. It is a valuable exercise to routinely walk through your patients' journey and "audit" your system. If you do this, I bet you will find something you are paying for and not using - just like your Hulu account.
How much does it cost?
As you are collecting this information, if you could add it all up and let us know how much your monthly spend is on your Core EHR plus all the ancillaries.
What's Next?
The next phase of this process is to build our wish list. What do we need that hasn't been effectively solved yet. Or the solution is not obtainable for whatever reason. I am not asking for this wish list yet, but as you "audit" yourself, you may think of things - save those thoughts.
